What can the staff do and see in Famly?
The roles and permissions assigned to each member of staff determine the range of actions that staff member can do the Staff can do a range of actions depending on . You can read more about roles and permissions here. The first permission either allows or disallows staff from fully accessing Famly outside of the nursery.
Is Famly safe to use in regards to privacy and data security?
Famly is absolutely safe to use in regards to privacy and data security. Famly is completely compliant with the new GDPR laws that came into affect May 2018.
Can I use Famly without wifi?
Famly requires an internet connection for use. This can either be via wifi, an ethernet cable or a device data (personal hotspot).
Parents & Children
How do I assign a parent access to a child's profile?
For a parent to have access to a child's profile, they must be created as a contact on the child's profile. Once you have created the parent as a contact you can then send them a parent login, to grant them access to Famly. More on assigning logins here. If you would like to send all of your parent logins out at once, you can request Famly customer success do this for you by sending us a message or giving us a call.
How do you correct an email address on a contact?
If a login has been sent to an email address that has been entered incorrectly, simply go to the child’s profile, click on the contacts tab, find the contact with the incorrect address, remove the login, correct the address and resend the login. If a parent would like an email address changed for a login that has already had posts and messages sent to it, the parent should login with the original address and edit the login themselves from their settings, more on how to do that here.
What can someone with a Parent role or a Family role see when they login to Famly?
When in Famly, a parent can see their child's newsfeed and calendar. This will contain all posts sent to the child from the nursery, the events they've been invited to and Closing Days. If they have been assigned as bill payer or invoice recipient they will have a balance tab with account history including invoices and payments. They also see their child's profile including the Activity tab, the About tab, the Contacts tab, the Journey tab (if you have Child Development), the Notes tab and the Reports tab. They have the messaging feature, the notifications icon, and their personal settings.
They do not have access to Staff profiles, though they can see their pictures should a staff post to the newsfeed and message staff who have the private messaging permission. They do not have access to other children's profiles but can message other parents depending on your nursery's settings, and on occasion see the names of other children if they have been selecting specifically to receive a post.
How do I receive team messages from parents in a specific room?
To access the common inbox as well as receive notifications for a room for, mark it as a favourite from the room overview. You can read more about marking a room as a favourite here.
Can parents change their child's bookings or request additional childcare via Famly?
Parents cannot change their child's bookings in Famly. They can request additional childcare, however this would be via a private message to you in Famly's messaging feature.
Can I remove a child who has not started or has left the nursery?
You can remove a child by adding a withdraw date from the Registration and Room Moves sections of a child's about tab on their profile. More on how to do that here.
Can I move a child or staff from one room to another temporarily or permanently?
There are many ways to move children between rooms. You can move them between rooms in one day here, for an extended period here, as well as schedule predetermined room moves here. You can similarly move staff temporarily and for an extended period from the Staff page in your setting page.
Can I make different groups of children, aside from rooms?
You can use tags to group children in different ways throughout the platform, including being able to send them messages, see their attendance and track their development. More on how to create tags here.
How do I send a message to a specific group of children?
You can send messages to specific groups of children by using the newsfeed and sending a post. When sending a post you can chose who you would like it to be sent from, either you, the room you belong to or the nursery. Next chose the group of children you would like to send the message to. You can chose all children, a specific room, a specific tag or specific children chosen individually. You can add photos, documents, PDF's or videos to a post.
Can I sign children and staff in and out of the nursery? Will this be recorded?
You can use the Famly sign in screen to sign staff and children in and out. We have both the regular sign in screen here and the pin code sign in screen here.
Plans and Invoicing
What is the difference between between Full Year and Specific dates when creating an attendance schedule (formally a School)?
When creating an attendance schedule you are given the option to select Full Year or Specific dates. A Full year attendance schedule is for children that attend year round, that is normally somewhere between 48 - 52 weeks. These children are considered as attending the nursery every day of the year excluding closing days. A Specific Dates attendance schedule would be used when creating Term Time and Holiday time dates. In this case you would create two Attendance schedules with specific dates, one for Term Time and one for Holiday. These attendance schedules would be used for children who have a certain booking pattern during in term dates and another booking pattern during Holiday time. It is important to distinguish between these in Famly because they influence the register and the calculation of the invoices.
Can I add funding to Famly?
You can easily add both term time funding and full year stretched funding for children in Famly, which will come off of their invoices. You start by entering the Local Council rates in your attendance settings, then add the funding to a child's plan, finally you can compare what you receive from the council and what you give in funding from the public funding report, as well as see expected revenue from Council Funding in the Revenue Report.
What is the difference between Actuals and Annualised invoicing?
Actuals invoicing refers to when a nursery charges children for the actual sessions that occur during an invoicing period. For example February invoices are likely to be cheaper than November invoices because there are less days in the month, so less days to charge for. Annualised invoicing on the other hand takes the weekly plan of a child, multiplies it by the number of weeks the child attends a year and then divides it by the number of months the children will be invoiced. For example a Full Year child would likely have their weekly charges x 51 weeks / 12 months of invoicing to get an fixed average monthly invoice.
